Public prices describe different packages. The table keeps the original currency and billing qualifiers. Ask each vendor for the same role mix, annual workload and service scope before treating the figures as comparable.

Define the unit before comparing rates. Ask how a short questionnaire, amendment, reopened response and cancelled project are counted. Match the annual allowance to your pipeline and peak quarters.
Count licensed editors separately from occasional reviewers and administrators. Confirm the rights attached to each role and whether adding a contributor changes the bill. A seat count alone does not define the workflow.
Question, credit, response-volume and concurrent-project allowances describe different constraints. Request the metering definition, rollover treatment and escalation process when capacity is exhausted.
A flat fee can simplify a bounded team budget. Confirm members, capabilities, services and usage boundaries instead of interpreting flat as unlimited. A starting platform fee can still exclude licenses and add-ons.
Distinguish an annual commitment from a monthly equivalent displayed on a page. Confirm payment timing, renewal, price changes and cancellation. Do not assume a discount or cancellation right that the written terms do not state.
Record your assumptions. This local worksheet does not calculate a vendor quote or send data.
There is no universal tariff. The right model fits the work you can predict and the controls you need. Use the actual response pipeline, not a convenient round seat count.
Seats can fit a stable editor group; project packages can fit a forecastable pipeline. Both need a clear definition. Compare busy-period capacity, not only average annual utilization.
| Response volume | How are RFPs, questionnaires, revisions and amendments counted? |
|---|---|
| Workspaces | Are customer projects or entities isolated, and is there a limit? |
| User roles | Which contributors require a license? |
| Administrators | Are configuration and content-owner roles included? |
| Document workflow | Are the required import, review and export formats covered? |
| Security controls | Does the specific plan meet your assessed requirements? |
| Support | What onboarding, training and escalation are included? |
| Integrations | What connector scope and administration are included? |
Request a dated quote rather than assuming a standard discount. Compare payment timing, minimum commitment and renewal treatment alongside the discount. A conditional refund is different from a free trial.
Packages can combine platform, workflow, support and usage. Break the quote into the pieces your team will actually use.
A free trust-center tier is not necessarily questionnaire automation. Confirm the exact free scope and any trial requirements.
Define counted units, caps, services, renewal and exit in writing and use a representative pilot.
